​PART 6: TENANT MANAGEMENT 

A) TENANT TURNOVER ADMINISTRATIVE CHECKLIST - Organizes the process for the administrative manager, includes all steps required to prepare for the next tenant.

B) NOTICE OF LEASE VIOLATION - Used to notify tenants of specific violations observed or reported. Always include a copy of VII Lease Highlights specifying the violation in highlighted orange with tenant's initials.

C) NOTICE TO PAY OR MOVE - Final notice before legal action. We use it monthly. Usually gets results.

D) NOTICE OF LATE CHARGE - Tenant's late charges now owed.

E) MEMO - Informal letterhead sheet by which you can communicate with a tenant. We use it every month. One step down from Notice of Lease Violation.

F) NOTICE TO VACATING TENANT - Once you receive or give notice to vacate, we send this form 3 times. Has 9 things they must do to receive their security deposit back. Very effective.

G) NOTICE OF RENT INCREASE 

H) NOTICE OF LEASE TERMINATION 

I) AGREEMENT FOR RESIDENT ALTERATIONS - We don't allow alterations. But we have a process for denial. If tenant requests permission to alter property, they fill out a Tenant Alteration form by which they agree to put property back to condition as it was when they moved in.

J) NOTICE OF OPEN HOUSE DATES - When tenant gives notice to move, we schedule open house for prospective new tenants.

K) NOTICE OF MAINTENANCE APPOINTMENT - Mailed to tenant, with day of week and date, always with a 3 or 4 hour window of starting.

We mail tenant statements and include one of the letters below. Friendly but instructive.

A) UNDERSTANDING THE RENT RULES, LATE FEES, ETC. 

B) HOW TO SAVE ENERGY AND MONEY 

C) SPRING IS HERE! 

D) PHONE NUMBERS. DO WE HAVE YOURS? 

E) BEDBUGS ARE SERIOUS BUSINESS! 

F) ORDER IN WHICH RENT PAYMENTS ARE APPLIED 

G) MAINTENANCE REQUEST POLICY 

H) SET THERMOSTAT AT 68 DEGREES OR BELOW AND LEAVE IT THERE!
